frp®hospitality Privacy Policy

Introduction

FRP® respects your privacy and is committed to protecting information that relates to our Customers and their use of the frp®hospitality app. This Privacy Policy explains what data is collected, how it is used, and what rights Customers have.


Collected Information

We collect only limited information necessary to operate licensing, support, and integrations:

  • Customer-provided contact details (first name, last name, business email) for license issuance and support.
  • General application usage statistics, crash reports, and device metadata (e.g., app version, device type).
  • Information voluntarily provided by the Customer during support requests.

Biometric Data & Processing
All biometric recognition (face images, templates, matches) is processed locally on the Customer’s device or within the Customer’s Google Account. FRP® does not access, receive, or store biometric data or consent forms.


Legal Basis & Use of Information

We process Customer-provided information to:

  • Deliver licenses and activate features in the frp®hospitality app.
  • Provide technical support.
  • Fulfill legal obligations and security requirements.
  • Improve the stability and performance of the frp®hospitality app.

We do not sell or share personal information with third parties for marketing purposes.


Disclosure of Information / Legal Requests

We may disclose Customer information:

  • To comply with lawful requests, subpoenas, or court orders.
  • To investigate or prevent fraud, abuse, or security threats.
  • To protect the rights and safety of FRP®, our Customers, or others.

Clarification:
FRP® may only disclose information it directly controls, such as license records, usage statistics, or Compliance Pack logs if voluntarily provided by the Customer. FRP® cannot disclose biometric data, because it does not collect, process, or store such data.


Google API Usage

When the frp®hospitality app integrates with Google Contacts, Calendar, or Gmail, only the minimal required data is accessed (e.g., names, email addresses, event details) to support bookings, scheduling, and guest communication.

No unrelated Gmail content is collected or stored. Access is limited to the scope explicitly granted by the Customer.


Data Security

We use technical and organizational measures to protect Customer information, including:

  • Encryption of all data transmissions (SSL/TLS).
  • Isolation of biometric processing to Customer devices or Google Accounts.
  • Secure storage of license data and support records by AES-256 encryption.
  • Compliance Packs, if exported, remain under Customer control until they are explicitly sent to FRP®.

Compliance Pack

Customers may export a Compliance Pack containing only system-level metadata logs:

  • attestation.json — confirmation logs
  • config.txt — list of activated functions
  • app_version.txt — application version

Export Process:

  • Initiated only by the Customer via the frp®hospitality app: Settings → Legal → Send Compliance Pack by Request.
  • The app prepares an email: To compliance@frp.ai, Subject inst_id XXXXX compliance request, with the ZIP file attached (inst_id_mmddyy-hhmmss.zip).
  • FRP® never collects these logs automatically.

Consent & Responsibility

The Customer is solely responsible for:

  • Obtaining, retaining, and providing legally valid consent forms under applicable law (including, but not limited to, Illinois BIPA, California CPRA, EU GDPR).
  • Ensuring consents include the purpose of biometric use, retention period, and lawful processing notice.
  • Providing proof of consent forms to regulators or courts upon request.

FRP® does not store or verify consent forms. Liability for biometric compliance rests entirely with the Customer.


User Rights

Depending on applicable law (e.g., BIPA, CPRA, GDPR, but not limited), Customers have rights to:

  • Request access to the personal data FRP® holds (license details, support records).
  • Request correction or deletion of such data.
  • Restrict or object to certain processing.
